Overview
Before a used vacuum pump comes into one of our workshops, we need to know what has been through it. A pump from a solvent process, a biological facility or a plant handling toxic material is a hazard to the person who opens it.
The declaration form is a legal requirement and a practical one. It takes five minutes to complete and it is what allows our engineers to work safely. Pumps arriving without one cannot be accepted.

A pump that has been on a process can carry residues of whatever that process used. The engineer who opens it needs to know what is in there before they do.
The form is how that happens. It records what the pump has handled so the work can be planned properly and the right precautions taken.
It is also a record that the question was asked and answered, which matters if anything ever goes wrong.

What it asks
What the pump has been used on, whether any residue may remain, and whether it has been cleaned before despatch.
If nothing hazardous has been near it, say so on the form and it takes two minutes. The form is not an obstacle, it is a record.

What happens next
Once the form is in, the job is scheduled. Until it is in, a workshop cannot legally accept the pump, and that is not a policy we can bend.
Where cleaning is needed we will arrange it or advise how to do it on your site, whichever is quicker.
The completed form stays with the job record so it can be produced later if it is ever needed.

Frequently asked questions
What is a vacuum safety form?
A declaration of what a pump has been exposed to (process gases, chemicals, biological or radioactive material), completed before it comes to us for service.
Why do you insist on one?
Because our technicians open these machines by hand. They are entitled to know what is inside before they do, and that is not negotiable.
What if the pump only handled air?
Then say so on the form and it takes two minutes. The form is not an obstacle. It is a record that the question was asked and answered.
What happens if we do not complete it?
We cannot accept the pump. That is not administrative stubbornness. An undeclared pump is an unknown hazard to the person who opens it.
Who should sign it?
Someone who actually knows the process, a supervisor or engineer, not whoever happened to load the van.
Does it delay the repair?
No, it speeds it up. A declared pump goes straight to the right bench with the right precautions instead of waiting while we ask questions.
What if the process is confidential?
Tell us the hazard class rather than the formulation. We need to know what it can do to a person, not what it is worth to you.
Can we send it electronically?
Yes, email or through our service portal. A copy must also travel physically with the pump, attached where it is visible.
What about contaminated pumps?
We handle many, with the correct procedures and disposal routes. Declaration is exactly what makes that possible and safe.
Where do we get the form?
From us: with the collection arrangement, on request, or with any service booking. We would rather send it twice than not have it once.
